Start a booking and reminder setup service for appointment businesses with AI and USD 0

Short answer: Hairdressers, tutors, personal trainers, therapists and trades lose money every time a customer forgets an appointment, and many still book by phone and memory. You can set up a free online booking page for them (Google Calendar appointment schedule or Calendly Free) and write, with a free chat assistant (ChatGPT or Claude), the confirmation, reminder and no-show messages the owner approves and reuses. Your value is a working setup in one afternoon and messages that sound like the owner. Free-plan facts below come from the official pages, checked 2026-10-16.

Who this fits

Organised people who like tidy systems: former receptionists and admin staff, students helping a family business, and freelancers who already work with local shops (for example on Google Business Profiles or reviews) and want one more simple service to offer.

Step 1. Write the offer (30 minutes)

One setup package, one price. For example: one booking page with the owner's real services, durations, hours and breaks; five approved messages (confirmation, reminder the day before, running-late, no-show follow-up, cancellation policy) saved where the owner can send them in two taps; and a 15-minute handover. Optional small monthly fee to update hours, holidays and messages.

Ask the assistant: “Rewrite this offer so a busy hairdresser understands it in 10 seconds: [your offer]. Friendly, short, no promises of fewer no-shows or more customers.” Then edit it by hand.

Step 2. The process for each client

  1. Collect. Get the real facts in one note: services, how long each takes, prices if the owner wants them shown, opening hours, breaks, how far ahead people may book, address or how to meet, and the owner's cancellation rules. Agree on the tone and sign-off.
  2. Pick the booking page. With the owner's own account, never yours. A personal Google account can create one booking page with unlimited bookings at no charge; it must be set up on a computer, not the phone app. Calendly Free gives one event type, one calendar connection and a customizable booking page. If the owner needs several services with different lengths on one free page, pick the one that fits best or list the longest slot and explain in the description.
  3. Draft the messages. Paste the facts note: “Write five short messages from the owner: booking confirmation, reminder the day before, running-late notice, a kind no-show follow-up offering to rebook, and a cancellation policy of two sentences. Use only facts from the note. No fees, deposits or discounts unless the note states them. If a fact is missing, write [ASK OWNER].”
  4. Get approval. The owner reads and changes every line, especially the policy. Only approved text is saved.
  5. Save and hand over. Put the approved texts where the owner already talks to customers, for example as quick replies in the free WhatsApp Business app, and show them how to send the day-before reminder in under a minute. Never ask for their passwords; set things up with them on their own device or account.
  6. Check after two weeks. Ask three questions: how many bookings came through the page, how many no-shows, which message needed changing. That short check is what earns a monthly upkeep fee.

On the USD 0 route, reminders are sent by the owner by hand from saved, approved texts. If the client later wants automatic reminders, show them the official pricing pages and let them decide; never sign them up for a paid plan yourself. Do not paste customers' names or phone numbers into a free AI account. Free limits change, so check each official page before you promise anything.

Step 3. Your first 5 clients

  1. Two practice clients. Offer a free setup to two people you know who take appointments (a hairdresser, a tutor, a trainer) in exchange for honest feedback and permission to describe the work.
  2. Look for the signal. Local businesses whose profile or Instagram says “book by phone” or “DM to book” already feel the problem.
  3. One simple message. “Hi, I'm [name]. I set up free online booking pages for small businesses and write your confirmation and reminder messages with AI tools, checking every detail with you. You approve everything. [price] for the setup. Want me to show you what your booking page could look like?”
  4. Count. Write down asks, replies, clients and money in. After 5 clients, keep, change or drop the offer.

FAQ

Can I start a booking setup service with no money?
Yes. A personal Google account can create one Google Calendar booking page with unlimited bookings at no charge, and Calendly Free includes one event type and a customizable booking page. A free ChatGPT or Claude plan drafts the messages. Free limits change, so check each official page.

Do free booking pages send automatic reminders?
Not on the free personal Google route: Google lists automatic email reminders as a premium feature for eligible Google One or Workspace plans, and Calendly lists reminders outside its Free plan features. On USD 0, the owner sends approved reminder messages by hand, for example as saved quick replies in the free WhatsApp Business app.

Who decides the cancellation and no-show policy?
The owner, always. You can draft a short, polite policy with AI, but the owner sets the rules, the notice time and any fee, and approves the final text before customers see it. Never invent fees or deposits.

What should the setup package include?
One booking page with the owner's real services, durations and hours, a set of approved messages (confirmation, reminder the day before, running-late, no-show follow-up, cancellation policy), and a 15-minute handover so the owner can run it alone. State the price and what is not included before the client pays.
